Printer Fleet Inventory: What to Track for Every Printer, Copier & MFP

A useful printer inventory is much more than a list of model and serial numbers. The right data reveals how equipment is actually being used, which devices are overworked or underused, where scanning is driving hidden wear, whether contracts and service coverage still fit, and where security or lifecycle risks may be hiding.

Start With Visibility

You Cannot Effectively Manage a Fleet You Cannot See

Most businesses can identify their computers, servers, network equipment, and other technology assets. Printers and copiers are often different. Devices may be spread across departments, branch offices, reception areas, warehouses, executive offices, and remote locations—with no single record showing what equipment exists, who uses it, how heavily it is being used, which supplies it requires, or whether it is owned, leased, or covered by service.

That lack of visibility can create duplicate toner inventories, missed lease expirations, unnecessary equipment, recurring repair problems, inconsistent security settings, multiple service vendors, and devices remaining on the network long after anyone knows why they are there.

The Goal A printer fleet inventory should answer more than “What machines do we have?”

It should help the organization understand where each device is located, what work it performs, how much it prints, copies and scans, what it costs to support, how reliable it is, whether it is secure, and whether it still belongs in that location.

This same inventory is one of the starting points for a credible managed print assessment. The difference is what happens next: good fleet management turns the inventory into device-by-device decisions rather than treating the spreadsheet itself as the finished product.

Build the Baseline

What to Record for Every Device

The exact fields can vary by organization, but a strong inventory starts with consistent identification, location, ownership, network, usage, supply, service, security, and lifecycle information.

01 — Identity

Manufacturer, Model & Serial Number

Record the exact model and serial number—not just “HP printer” or “Konica copier.” These identifiers affect toner, parts, firmware, drivers, warranty, service documentation, and lifecycle decisions.

02 — Asset Control

Internal Asset Tag

If the organization uses asset tags, include that number so the printer inventory can connect with accounting, IT, purchasing, insurance, and fixed-asset records.

03 — Location

Where the Device Actually Lives

Record building, floor, department, room, branch, or another useful locator. “Second-floor printer” is much less useful than “Building A – Finance – Room 214.”

04 — Ownership

Owned, Leased, Financed or Rented

Record how the equipment was acquired, who owns it, which agreement applies, and when important contract events such as lease expiration or renewal occur.

05 — Network

IP, Hostname & Print Queue

Depending on the IT environment, useful fields may include IP address, hostname, MAC address, VLAN, print-server queue, and whether the device uses a static IP or DHCP reservation.

06 — Responsibility

Department or Cost Center

Assigning the device to a department helps identify who depends on it, where usage originates, and whether print, scanning, supply, and service costs need departmental allocation.

Document the Job, Not Just the Box

Track the Device's Capabilities and Workflow

Two machines with similar page counts may serve completely different purposes. Before deciding that a device is unnecessary, oversized, or interchangeable with another machine, document what it actually does for the users around it.

  • Color capability: Black-and-white only or full color.
  • Functions: Print only, print/copy/scan, fax, or specialty workflow.
  • Document feeder: Capacity, duplex scanning, speed, and type.
  • Paper handling: Supported sizes, tray capacity, envelopes, labels, and specialty media.
  • Finishing: Stapling, hole punching, booklet making, folding, or sorting.
  • Scanning: Scan-to-email, network folders, cloud destinations, line-of-business systems, or document management.
  • Authentication: PINs, card readers, directory login, secure print, or department codes.
  • Software dependencies: Print management, accounting, workflow, scanning, or industry-specific applications.
A lightly used device may still be there for a very good reason.

It may be the only machine in a department with a high-capacity feeder, legal-size scanning, envelope support, secure printing, a particular finisher, or integration with a business-critical workflow. Usage data should inform the decision—not replace understanding of the workflow.

Measure the Work

Track Print and Copy Volume Over Time

Meter information is one of the most valuable pieces of fleet data. Record black-and-white, color, copy, and total counters where the machine exposes them, then keep historical readings instead of overwriting the previous number.

Several months of readings let you calculate actual monthly volume rather than relying on guesses. A full year is even more useful because it captures seasonal activity, annual reporting, enrollment cycles, tax periods, fundraising campaigns, and other temporary spikes.

Why Monthly Volume Matters

A large departmental MFP producing only a few hundred pages each month may be significantly oversized. A small desktop printer producing thousands of pages every month may be doing work better suited to a larger and more economical machine.

Neither automatically means the equipment should be replaced. The answer may be replacement, but it could just as easily be relocation, rotation, consolidation, reconfiguration, or no change at all. The Counter Many Fleets Miss

Don't Forget Scan Volume

Print and copy counts tell only part of the story. For multifunction printers, organizations should also track scan volume whenever the device makes that information available.

A department may produce relatively few printed or copied pages while scanning thousands—or even tens of thousands—of pages every month. If someone looks only at output volume, that device may appear lightly used. Operationally, it may be one of the hardest-working machines in the building.

The Sizing Trap A device can be a low-volume printer and a high-volume scanner at the same time.

If equipment is sized only from print and copy counters, an organization can choose a smaller MFP whose print engine looks adequate but whose document feeder and scanner are not designed for the actual workload.

Why Scan Volume Changes the Equipment Decision

Imagine a department that prints and copies only 2,000 pages per month. Based on output alone, a smaller desktop or workgroup MFP may appear perfectly adequate.

Now assume that same department scans 15,000 or 20,000 pages each month. The workload looks completely different. The print engine may be lightly used while the automatic document feeder, scanner assembly, feed rollers, separation components, and scan paper path are operating constantly.

Smaller multifunction devices generally use lighter-duty document feeders than larger departmental machines. Put a high-scan department on the wrong class of equipment and the users may soon complain that the machine is unreliable or that the feeder is “always breaking.” The equipment may not be poor quality at all—it may simply have been selected using the wrong workload measurement.

Think About Document-Intensive Workflows

A Social Security Administration-style workflow is an easy example to visualize. An office may spend much of its day taking applications, identification documents, supporting records, correspondence, and forms and moving those documents into electronic systems. The location may not generate extraordinary print volume, yet its document feeders can process enormous numbers of originals.

The same pattern appears in human resources, medical administration, financial services, legal offices, records departments, insurance, government, education, and other document-intensive environments. Don't Size an MFP From One Counter

The right machine is not simply the one whose rated print volume matches the number of sheets coming out of the device. Ask how much it prints, copies and scans; whether scans are single- or double-sided; whether users process large batches or mixed originals; how quickly work must be completed; and whether scanning is central to a business-critical workflow.

Right-size the whole multifunction device—not just the print engine.

When scanning is a major part of the job, feeder capacity, feeder durability, scan speed, duplex performance, multi-feed detection, original handling and workflow integration can matter more than rated print speed.

Use the History

Consider Rotating the Fleet to Balance Usage

Tracking meters becomes especially valuable after roughly a year, when consistent usage patterns begin to emerge. Some departments may be high-volume locations while others use nearly identical equipment far less.

When the equipment, workflow, accessories, network requirements, and physical geography allow it, ABT often recommends considering fleet rotation.

Think of it like rotating the tires on a car.

If one position consistently experiences more wear than another, moving the tires periodically helps distribute that wear. The same basic principle can apply to interchangeable printers and MFPs: balancing workload can help prevent one device from accumulating dramatically more use than the rest of the fleet.

If all four machines are functionally interchangeable, allowing the Finance unit to stay in that position for years could result in much higher lifetime usage while the Training device remains lightly used. Moving the lower-usage machine into the higher-volume location—and the higher-usage machine into a lighter-duty role—can help balance cumulative wear.

Include Scan Counters in the Rotation Decision

Do not compare only print meters. Two MFPs with the same print count may have experienced completely different mechanical workloads if one has processed three times as many originals through its document feeder.

A device with relatively low output but extremely high scan volume may already have substantial feeder wear. That needs to be included before calling it the “low-mileage” machine.

Don't Rotate Based on Meter Count Alone

  • Confirm functionality: Color, speed, paper sizes, feeder performance and scanning capability must fit the destination.
  • Check accessories: Finishers, staplers, large-capacity trays, fax boards, card readers and specialty options may not be interchangeable.
  • Review workflow: Address books, scan destinations, authentication, secure print and business applications must continue to work.
  • Review network configuration: IP addressing, print queues, drivers and monitoring need to be planned before moving the device.
  • Consider physical requirements: Space, electrical power, accessibility and building layout may make a move impractical.
  • Look at service history: Do not move a chronic problem into the busiest department just because its meter is lower.
Fleet Management Principle Sometimes the best fleet decision is not buying anything.

Putting the right existing machine in the right location can improve utilization, balance wear and extend useful life without adding another device to the fleet.

This is one reason ongoing monitoring matters in a managed print program. Meter history can reveal location-level trends that are nearly impossible to see when the organization looks only at a current invoice or a single month's usage.

Reduce Supply Complexity

Track Toner, Drums and Recurring Consumables

Every device should be associated with the correct toner or cartridge family. Depending on the platform, also record drums, imaging units, maintenance kits, waste toner containers, printheads and other recurring consumables.

One of the clearest signs of an unmanaged fleet is unnecessary supply complexity. An organization may have 15 printers but need 10 different toner families because equipment was purchased one machine at a time over many years.

That does not mean devices should be replaced merely to standardize toner. It does mean supply complexity should become part of future purchasing and consolidation decisions. Know the Financial Obligation

Track Ownership, Leases and Contract Dates

A fleet inventory can expose equipment the organization still pays for even though the device is underused, redundant, relocated, or no longer aligned with the business.

For leased or financed devices, consider recording the financing company, contract number, start date, expiration date, monthly payment, renewal provisions, end-of-term notice requirements, and expected return or purchase obligation.

A useful inventory should make important contract dates visible before they become urgent.

Automatic renewal windows, return obligations and end-of-term notice requirements can affect what the organization is able to do with a device. Review them before planning a move, retirement, replacement or consolidation.

Reliability Has a History

Track Service Coverage and Repair History

A device that has needed four repairs in six months should not be evaluated the same way as a similar machine that has operated reliably for years.

For each device, identify the service provider, agreement number, coverage dates, response expectations, included parts and labor, and any applicable cost-per-page or base charges. Then maintain enough repair history to identify recurring problems.

  • Date of service: When did the issue occur?
  • Problem reported: What did the user experience?
  • Parts replaced: What actually failed?
  • Repair cost: What did the organization spend if the issue was not covered?
  • Downtime: How long was the device unavailable or degraded?
  • Repeat issue: Is this the same problem returning?
  • Technician recommendation: Was follow-up, preventive maintenance or replacement suggested?

Printers Are Network Endpoints

Include Security Status in the Fleet Inventory

Modern printers and copiers can communicate with email systems, file servers, cloud platforms, directories, print servers, network storage, authentication systems and business applications. They should be managed as network-connected technology—not merely office appliances.

Change the Factory-Default Administrator Password

One of the first security questions for every networked printer or copier should be: Has the factory-default administrator password been changed?

Default administrator credentials for many printer and copier models are publicly documented and can often be found with a simple internet search. Leaving those credentials unchanged can give someone with access to the device interface an unnecessary path to administrative controls.

Depending on the platform, administrative access can expose or allow changes to network settings, scan destinations, address books, email configuration, authentication, device settings and remote-management functions.

Ask About the Service Password Too

Many copier and multifunction platforms also provide technician or service modes. Service-level credentials and entry procedures for many models are also widely available online.

Ask the manufacturer or authorized service provider whether the service credential can be changed or otherwise restricted. Where changing it is supported, IT should evaluate doing so within the organization's security policy. Where it cannot be changed, the organization should understand what service mode permits and compensate with appropriate network, physical and access controls.

Coordinate service-level credential changes with the equipment provider.

Service mode can expose settings that affect maintenance, calibration and device operation. The goal is to reduce unnecessary access without accidentally interfering with legitimate service procedures.

Track Credential Status—Not the Password Itself

The printer inventory should record whether credentials have been reviewed and who owns them. It should not contain the actual administrator or service passwords in an ordinary spreadsheet.

Record This

“Admin password changed: Yes,” “Credential owner: IT,” “Service credential reviewed: Yes,” and the date of the most recent security review.

Do Not Record This

The actual administrator password, service password or other privileged credentials in an uncontrolled printer inventory spreadsheet.

Inventory Is Only Step One

Use the Data to Manage the Entire Lifecycle

A device list tells you what exists. Fleet management begins when that information is used to ask better questions:

  • Should this device stay where it is?
  • Is it appropriately sized for both output and scanning?
  • Is another identical machine receiving far less use?
  • Could rotating devices balance lifetime workload?
  • Is the machine costing more to service than its role justifies?
  • Is it secure and supported?
  • Is its lease or service agreement still appropriate?
  • Could two underused machines be consolidated?
  • Are multiple vendors supporting what could be one coordinated fleet?
  • Should the machine be retained, moved, repaired, monitored or replaced?

A credible managed print assessment takes those questions device by device. The outcome should not automatically be a new fleet.

Keep It Alive

How Often Should the Inventory Be Updated?

Treat the inventory as a living operating record, not a one-time spreadsheet created for an audit.

At minimum, update it whenever equipment is installed, relocated, retired, repaired, reconfigured, moved under a different contract, or assigned to another department. Meter and scan-volume history should be collected often enough to establish meaningful trends.

Larger fleets benefit from periodic formal review—often quarterly or annually—so equipment usage, scan workload, service history, contract status, security and rotation opportunities remain visible.

The best fleet inventory is the one people actually maintain.

Start with the fields that drive real decisions, define who owns the data, establish a review cadence, and avoid turning the inventory into a massive form that becomes outdated because nobody wants to update it.
